General Information
Where do I access the application?
The application link can be found on the Vendor Application page. However, we highly recommend reading through the information on this page before applying. You will be held responsible for reading this information and following all rules of Jaycon and of the Dealers Room.
How are the applications being considered for the Dealers Room?
VENDOR APPLICATIONS ARE NO LONGER FIRST COME FIRST SERVED. Applications will be decided on a juried basis. This change in application process is meant to create a diverse and well-rounded Dealers' Room. We do not base decisions on previous affiliations with Jaycon or Staff. Because of the size of Jaycon, we are striving to create a better Dealers Room through a variety of consumer goods.
What should be included in my application?
To help in the juried process, we ask that you include either a link to your website or a detailed description of the products you plan to sell.
When can I expect to hear back from Jaycon about my application?
You can expect an email from us a few weeks after the deadline. Vendors who have been selected will have a specific timeframe to pay their deposits. If they fail to make the payment, that space will be given to a vendor on the Waitlist.
Do I have to register as an attendee for Jaycon before applying?
YES. Vendors must be confirmed attendees before applying for a vendor space. This is very important; if we do not have you in our system as a confirmed attendee, your vendor application will be severely delayed. Due to Jaycon policy, attendee registration fees are not paid online, they are paid at the Registration Table at the convention. Therefore, you will not be losing money if you do not get a table and do not wish to attend otherwise.
What kind of tables does Jaycon offer?
We are offering three different options for vendor tables this year. The first option is a booth. The space is roughly 8’ by 11’ (if you need specific measures, please Contact Us). Included in a booth are two tables, one measuring 6’ by 2.5’ and the other measuring 8’ by 2.5’. The second option is a table. These tables are 6’ by 2.5’. The third option is two 6' tables side by side. Both booths and tables are provided with two chairs each. Additional chairs are available on a very limited basis.
Can I purchase more than one table?
Of course! The maximum number of tables you can purchase is two due to the setup of the Dealers Room.
How much does it cost?
Why are the prices higher than in previous years?
In previous years, vendors who came to our Dealer's Room were required to pay the table or booth fee and then in addition were required to pay a fee for the badge. These fees previously have been separated. As of this year, the fee for the badge and table is now combined to cut down on the hassle to our vendors when they show up at the door for Jaycon.
How do I pay Jaycon for my table?
This fee is nonrefundable and will be paid through a website set up through the College. A Paypal account or credit card will be required.
Can I bring an assistant with me?
Yes! In addition to the applying Vendor, you may have up to two assistants. Each assistant is required to pre-register as an attendee. Vendors and assistants will all receive special Vendor badges. The purchase of a vendor spot includes two badges. Additional assistant badges can be purchased for $15 at the Registration table. Jaycon reserves the right to remove individuals from behind tables that do not have these badges.
When can I arrive and set up at Jaycon?
Vendors can check-in and start setting up their tables on Friday night (February 22. 2019) as well as Saturday morning (February 23, 2019) to check-in and set up their tables. More exact times will be specified through email at a later date.
What is the security on the Dealers Room?
The Dealers Room will be locked at night by Campus Security, so merchandise can be left in the room overnight. In the mornings, Campus Security unlocks the Dealers Room for Supers. During the convention, Con Staff will always be present to monitor the Dealers Room.
Can I hang things on the wall behind my table?
NO. Because of facility regulations, special approved tape must be used to tape things to the walls of any College building. If you have wall space and wish to display something, a Super Staffer must tape it up for you and take it down for you. Due to the set up of the Artist Alley and Dealers Room, many tables do not have an actual wall - instead they are separated by curtain dividers. With Staff approval, appropriate light-weight materials may be hung there.
Will there be electrical outlets available?
Upon request, extension cords can be made available.
I can only attend one day of the convention. Can I still apply?
Yes, we would love for you to apply! Please include this information on your application. It will, however, be a factor in weighing applications for the Dealers Room.
Am I allowed to sell mature materials?
If you are selling merchandise that could be considered mature, it must be duly marked. Out of courtesy for our younger attendees, please keep it in a designated area, and out of sight.
Can I play music from my table?
Music is not to be played from any one table in the Dealers' Room without permission from a Super Staffer.
If you need clarification on anything mentioned above, or any other questions, please Contact Us.
